Goal:

Automatically send a follow-up email to clients only if:

• Their onboarding date is in the future
• Their calendar is marked as activated

Tech Stack & Logic

Trigger:

Google Sheets → New or Updated Row ⬇️

• Spreadsheet contains columns like:

  Client Name, Onboarding Date, Calendar Activated, Email ⬇️

  

  Formatter (Step 2)

  Formatter by Zapier – Date/Time ⬇️

  

  • Converts today’s date to match the format of onboarding dates (YYYY-MM-DD)
  • Used for accurate comparison in filters

  Filter (Step 3)

  Filter by Zapier ⬇️

  

  Condition 1: Calendar Activated is true ⬇️

  

  Condition 2: Onboarding Date is after TODAY (via Formatter) ⬇️

  

  → This ensures the automation runs only when both are true

Action (Step 4)

Gmail – Send Email ⬇️

• Sends a templated onboarding follow-up message
• Includes dynamic fields (e.g. client name, custom link)
